Office Manager Overview:
Join our dynamic team as the Office Manager for our thriving lawn and landscape company.
We are seeking a highly organized and detail-oriented individual to oversee the administrative operations of our office.
The Office Manager will play a pivotal role in ensuring smooth day-to-day functioning, managing communication channels, coordinating schedules, and supporting various departments within the company.
This position has the possibility of being a hybrid WFH / office schedule after 1 year.
Responsibilities:
Administrative Oversight Manage all administrative tasks efficiently, including answering phone calls, responding to emails, and handling correspondence.
Maintain organized filing systems for contracts, invoices, client information, and other essential documents.
Oversee office supplies inventory and order supplies as needed to ensure seamless operations.
Customer Relations Serve as the primary point of contact for customer inquiries, providing exceptional customer service and addressing concerns promptly.
Schedule client appointments, consultations, and service calls in coordination with field staff.
Ensure timely and accurate invoicing and payment processing, maintaining meticulous records of transactions.
Scheduling and Coordination Coordinate daily schedules for field crews, ensuring optimal allocation of resources and timely completion of projects.
Communicate effectively with team members to relay important information, updates, and changes in schedules or tasks.
Assist in the planning and organization of special events, promotions, and community outreach initiatives.
Financial Management Assist with accounts receivable and accounts payable processes, reconciling invoices and payments.
Collaborate with management to develop and maintain budgetary guidelines and expense tracking procedures.
Prepare financial reports, forecasts, and analyses to support decision-making and strategic planning efforts.
Human Resources Support Assist with the recruitment and onboarding process for new employees, including posting job openings, scheduling interviews, and completing new hire paperwork.
Maintain employee records and ensure compliance with company policies, procedures, and regulatory requirements.
Facilitate communication between management and staff regarding HR-related matters, benefits administration, and performance evaluations.
Qualifications:
Proven experience in office administration, preferably in the landscape or related industry.
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Excellent communication and interpersonal abilities, with a customer-focused approach.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software (e.
g.
, QuickBooks).
Familiarity with HR processes and basic understanding of employment laws and regulations.
Detail-oriented mindset with a commitment to accuracy and quality in all aspects of work.
Ability to work independently as well as collaboratively within a team environment.
College Degree or 4 years of experience; additional qualifications in business administration or related fields preferred.
