Landscape Design & Personal Assistant Overview:
We are seeking a versatile and capable individual to serve as both a Landscape Designer and Personal Assistant, providing support across multiple aspects of your business and personal endeavors.
The ideal candidate should have a keen sense of efficiency, organization, and attention to detail.
This role offers a unique opportunity to work closely with the owner, contributing to the success and growth of the company while gaining valuable experience in the landscaping industry.
This position has the opportunity to be a hybrid, work-from-home opportunity after 6 months.
Responsibilities:
Landscape Design Assistant:
Assist with the preparation of design documents, contracts, and installation portfolios Communicate design requests with designers Client Communication:
Act as a liaison between clients and the owner, responding to inquiries, scheduling meetings, and providing updates on project status.
Assist with drafting and sending correspondence, proposals, and contracts to clients, ensuring accuracy and professionalism in all communications.
Record Keeping:
Maintain organized records of client contracts, design plans, project specifications, and other documentation related to landscape design projects.
Update project management systems or databases with relevant information, tracking project progress, deadlines, and budgetary considerations.
Pre-Construction Preparation:
Assist with pre-construction site evaluations, surveys, and assessments, gathering information to inform the design and planning process.
Coordinate with subcontractors, vendors, and other stakeholders to obtain quotes, permits, and approvals as needed for upcoming projects.
General Assistance:
Provide administrative support as needed, including scheduling appointments, managing calendars, and assisting with day-to-day office tasks.
Collaborate with other team members to ensure seamless coordination and communication across departments.
Personal Assistant:
Schedule Management:
Maintain the owner's schedule, prioritizing appointments, meetings, and deadlines to optimize time management and productivity.
Coordinate travel arrangements, accommodations, and other logistical details for business trips or personal events.
Department Updates:
Act as a point of contact for department heads, collecting updates, reports, and information on key projects or initiatives.
Consolidate and summarize information for the owner's review, highlighting important details and action items.
Meeting Organization:
Organize and schedule meetings, conferences, and presentations on behalf of the owner, ensuring all participants are informed and prepared.
Prepare meeting agendas, distribute materials, and record meeting minutes as needed.
Research and Analysis:
Conduct research on industry trends, market developments, and competitor activities, providing insights and recommendations to support decision-making.
Compile data, statistics, and other information for strategic planning, business development, and project evaluation purposes.
Qualifications:
Associate's or Bachelor's degree in landscape architecture, business administration, or related field preferred.
Previous experience in administrative support, project coordination, or customer service roles.
Strong communication skills, both written and verbal, with a professional and courteous demeanor.
Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
Discretion and confidentiality in handling sensitive information related to business operations and personal matters.
